The short version
- Zoho One has two prices because it has two models: All Employee pricing (cheapest per seat, but you must license every employee on payroll) and Flexible User pricing at $90 per user per month annual, per Zoho’s official page.
- The famous low number, around $37 per employee per month annual ($45 monthly) as of October 2026, only applies if EVERY employee on payroll gets a licence. Zoho’s own words: "Your business will have to commit to purchase Zoho One licenses for ALL employees on payroll."
- New in 2026: Zoho One split into two plans, Essentials (15+ apps) and Standard (50+ apps). Most pricing advice online still describes the old single bundle.
- What is NOT included surprises people: Zoho FSM, Workerly, Catalyst, all ManageEngine products, paid marketplace extensions, and CRM Ultimate edition (an add-on). Prices exclude VAT.
- The crossover math decides everything: a company where half the staff would use Zoho often pays LESS on flexible-user pricing despite the higher sticker. Run the multiplication before the discount call.
Why Two People Quote You Two Prices
Ask what Zoho One costs and you will hear $37 from one person and $90 from another, and both are right, because Zoho One is really two pricing models wearing one name. Verified against Zoho’s official pricing page in October 2026: All Employee pricing (the famous low number) and Flexible User pricing at $90 per user per month billed annually. The low number, around $37 per employee per month annual and $45 monthly as of this writing, carries the rule that gives this post its title.
The All-Employee Rule, Verbatim
Zoho’s own words: "Your business will have to commit to purchase Zoho One licenses for ALL employees on payroll." Not all users. All employees. The warehouse crew that will never open a CRM, licensed. The kitchen staff, licensed. Zoho does not publish a finer definition of employee, so if your workforce has contractors or seasonal staff, get the answer from Zoho sales in writing rather than from a blog, ours included.
This is not a trick; it is a trade. Per-employee pricing at roughly 40 percent of the flexible rate is genuinely excellent when most of payroll are users. The failure mode is a 100-person company with 20 Zoho users paying for 100 seats because the sticker looked cheaper.
The Crossover Math, Labeled Illustrative
Your numbers will differ; the method will not. A 40-person company, 15 real users: all-employee runs 40 x $37 = $1,480 a month, flexible runs 15 x $90 = $1,350, so flexible wins despite costing 2.4x per seat. Push real users to 25 of 40 and the all-employee bill is unchanged at $1,480 while flexible climbs to $2,250 - now all-employee wins by a third. The crossover lands near 40 percent of payroll being real users. Run that one multiplication before any discount conversation; it moves more money than the discount will.
Zoho One Rollout: The Checklist
The rollout pass we run on Zoho One deployments, as a one-page working PDF: the licence math with the all-employee rule, the exclusions to budget, the admin foundation, and the phased app rollout that keeps adoption alive.

- What is NOT in the box, Zoho FSM included
- Phase-one app picks and adoption criteria per phase
New in 2026: Essentials vs Standard, and What Is Missing
Two more things most advice has not caught up with. First, Zoho One split into two plans: Essentials with 15+ apps at a lower price point, and Standard with 50+ apps (Zoho’s homepage still says 45+, so even the vendor’s pages disagree; the pricing page is the authority). Most 2025-era content describes a single bundle that no longer exists.
Second, the exclusions, straight from Zoho’s FAQ: Zoho FSM is not in Zoho One, and neither are Workerly, Catalyst, the ManageEngine products, or paid marketplace extensions; CRM Ultimate edition and extra storage cost more, and prices exclude VAT. The FSM one matters most in practice - field service teams discover it at budget time. (FSM is its own practice for us, and its own comparison against Salesforce Field Service.)
If the math and the rollout both need a second pair of eyes: our Zoho practice runs phased, fixed-price deployments, CRM first, and the free scoping call includes exactly this licence arithmetic with your real headcount.
