The challenge

Camp Quality: where the mission happens at events, run by volunteers and families

Camp Quality supports Australian children and families impacted by cancer through camps, family experiences, and programs. Every one of those events needs volunteers recruited and screened, families invited and registered, required questions answered before anyone attends, and eligibility kept current. That all runs through Salesforce and two web portals - and when we started, those portals were an ageing build that needed to be modernised, secured, and made to carry far more of the work.

Ageing portals on old technology

The volunteer and family portals ran on an older Salesforce page technology that had outgrown what the charity needed - they had to be rebuilt on a modern, maintainable foundation without losing a single feature families and volunteers relied on.

Logins that had to be simple and safe

Volunteers and families are not IT users. They needed to get in without passwords to forget, and staff needed to safely step into a user's view to help - all without buying costly extra licenses.

Pre-event questions that cannot be skipped

For a children's charity, the questions asked before an event - dietary needs, medical details for treatment camps, waivers, image permissions - are how organisers arrive prepared. A registration that lets someone attend without answering them is unusable.

Volunteer compliance that expires

Volunteers must stay current on training and eligibility checks. Tracking that by hand across a large volunteer base does not scale.

Supplier invoices keyed by hand

The finance team was manually entering supplier invoices and routing approvals by email - slow, and easy to send to the wrong approver.

We rebuilt both portals on modern Experience Cloud, wired every registration and eligibility check into Salesforce as the source of truth, and added an invoice tool for the finance team - then kept managing the org, the migrations, and the integrations underneath.

What we built

Two portals, rebuilt on modern technology

The volunteer portal and the family portal migrated to modern Experience Cloud with custom-built components - every section carried across, then the family portal given a full design refresh to a new look and feel from the charity's design team.

Passwordless login, no license cost

A one-time-code login by SMS and email that needed no extra Salesforce licenses, plus a secure, time-limited way for staff to log in as a family or volunteer to help them - the kind of access that has to be safe as well as simple.

Invitation-based event registration

Families and volunteers see only the camps and events they are invited to, and register through a guided "request to attend" flow. Staff confirm each acceptance in Salesforce, and the portal keeps the family's attendance record in step automatically.

Pre-event screening, enforced

Each event carries its own required questions - session choice, dietary and special needs, medical details for treatment camps, waivers, and image-permission consent - collected as part of registration, with no confirmed place until they are answered.

Volunteer compliance and training

An eligibility checklist wired to the charity's learning system with single-click access to courses, and a daily automated check that keeps every volunteer's compliance status current - plus an incident-reporting page for the medical and support team.

An invoice-automation tool

A guided tool for the finance team that reads a supplier invoice PDF, extracts the details automatically, matches the vendor, applies the right financial coding, and routes it to the correct approver by amount - replacing manual keying and email approvals.

A managed, modernised org

Behind the portals we migrated over a million records, converted dozens of legacy automations to modern flows, and keep the fundraising integrations, payments, and data healthy - the ongoing work that keeps a charity's Salesforce dependable.

How we did it

Modernising two portals and the charity org behind them

The honest version first: this was not a portal built from a blank page. Camp Quality already had a volunteer portal and a family portal, and they were an ageing build on an older Salesforce page technology that had outgrown what the charity needed. Our work was to migrate both onto modern Experience Cloud with custom-built components, carry across every feature families and volunteers relied on, and then make those portals carry far more of the operation - all while a live charity kept running its camps and events.

Login had to be effortless and safe, because volunteers and families are not IT users and the charity could not justify buying costly extra licenses. We built a passwordless, one-time-code login delivered by SMS and email using a platform-event workaround that needed no additional license, with the code falling back gracefully across the systems that carry it. For staff, we built a secure way to log in as a family or volunteer to help them directly - rebuilt later with a signed, time-limited token that expires after eight hours, because "log in as someone" is exactly the kind of power that has to be locked down.

The heart of the portals is event registration, and for a children's cancer charity the screening is not paperwork - it is how organisers arrive prepared.
