A Fort Worth, Texas based wealth advisory and tax firm ran two businesses on one client base, and the work lived everywhere: cashiering requests moving by email, planning engagements signed ad hoc, organizers as PDF attachments, handoffs by memory, billing in a system nobody reconciled until month end. The challenge

A Fort Worth practice that outgrew its inbox

The firm serves its clients twice over: wealth management on one side, tax preparation on the other. Before the rebuild, the operational glue was email and memory. Cashiering requests and their withholding details moved through inboxes, planning engagement letters were assembled ad hoc, organizers went out as PDF attachments, consent-sensitive assignments depended on people remembering who had signed what, and billing lived in a separate system reconciled at month end. Money in motion deserved better rails, and tax season meant volume the process could not absorb.

Money in motion, tracked by email

Contributions, distributions, and their tax-withholding details moved through inboxes, with nothing forcing the required information to be captured before money moved.

Two businesses, one client base

Wealth and tax ran different work on the same accounts: cashiering and financial-account moves needed different fields, routing, and visibility than tax returns.

Planning engagements assembled ad hoc

Disclosure documents and engagement letters for financial planning were put together by hand, with fees recomputed for every invoice.

Consent routing by memory

IRS Section 7216 consent determines who may touch a return. Assignment depended on staff remembering each client’s consent status, with no enforcement behind it.

An empty system is a dead system

None of it works if the book of business is not in it: years of accounts, contacts, tasks, and engagement history had to move over clean.

Every engagement becomes a typed case. The case routes itself by type and consent status, enforces the fields the work requires, collects signatures through Titan into Box, and bills itself through Stripe when the work is done.

What we built

Wealth-side cashiering automation

Contribution and distribution cases with required state and federal tax-withholding fields, Financial Account flows that keep account numbers synced onto cases, statement-family requests routed to operations, and field visibility scoped to executive and financial-management roles.

Planning engagements through Titan

Financial planning services disclosure documents in single and joint versions, routed for e-signature, with planning-fee, wealth-research, and wealth-consulting billing formulas living on the engagement record.

A case-driven workflow engine

Typed cases for cashiering, onboarding, tax returns, payroll setup, and missing documents, routed by record-triggered flows to the right queues, with IRS 7216 consent deciding which staff group may receive tax work. Missing-document chases run on Action Plans with one-click creation from the case.

Stripe billing from the case

A Send Invoice button that computes the amount from the engagement’s own rate fields, offers invoice versus immediate charge, finalizes in Stripe, and emails the client. Subscription schedules cover recurring engagements; a webhook listener syncs customers and payment methods both ways.

Digital tax forms, end to end

1040 and S-Corp organizers as custom LWC forms on public links, plus the AICPA form and 1041 engagement letters through Titan. Client answers write to Salesforce, a generated PDF files to the client’s Box folder, and Titan handles the signatures.

Box document automation

Client folders created by callout when accounts are created, with batch retry and failure logging, and Box events flowing back onto the Salesforce record.

A client portal that earns its logins

An Experience Cloud portal with secure multi-file uploads, a self-service FAQ and knowledge page, and a video library including premium videos unlocked through the same Stripe rails as the firm’s billing. Welcome emails are automated, and post-engagement surveys feed a leadership dashboard that emails itself out daily.

The book of business, migrated

The long-haul migration and cleanup: accounts, contacts, tasks, opportunity contact roles, deduplication, owner reassignment, and default rates backfilled across the book.

How we did it

One operating system for a two-sided practice

Two businesses, one client base

The firm is really two businesses sharing one book: a wealth advisory arm with compliance obligations and money in motion, and a tax practice with brutal seasonal peaks. Every piece of work became a typed Salesforce case - cashiering, onboarding, tax return, payroll setup, missing documents - routed automatically to the right queue, with the fields, visibility, and automation each side needs.

Cashiering without the back-and-forth

Money movement is where advisory work gets risky, so it got the strictest treatment. Contribution and distribution requests are typed cases where state and federal tax-withholding fields are required before the case can proceed, Financial Account flows keep the account number synced onto every case automatically, and statement-family requests route straight to operations. Sensitive fields are visible only to executive and financial-management roles, enforced by the platform rather than by trust.

Planning engagements, signed and billed from the record

Financial planning got the same end-to-end treatment: the firm's planning services disclosure documents, in single and joint versions, route for signature through Titan, and the billing formulas live on the engagement itself - flat planning fees for new plans, planning fee by hours for updates, hourly rates for wealth research and consulting. An advisor opens the case, the right disclosure goes out, and the right amount gets billed, with nothing recomputed by hand.

Tax season, absorbed by the same system

The tax side runs on the identical pattern. The 1040 and S-Corp organizers are custom LWC forms on public links, joined by the AICPA form and 1041 engagement letters: answers write straight onto Salesforce records, a generated PDF files itself into the client's Box folder, and signatures route through Titan. Routing respects IRS Section 7216 consent, so clients who have signed route to one staff group and everyone else to a restricted operations team, enforced on every single case. An Experience Cloud portal adds secure uploads, a self-service FAQ, and a video library whose premium tier is unlocked through the same Stripe rails as billing.

Billing where the work happens

A Send Invoice button on the case reads the engagement's own rate fields - planning fees, hourly rates by role, flat annual fees - computes the amount, offers invoice or immediate charge, finalizes it in Stripe, and emails the client, logged back on the case. Recurring engagements run on Stripe subscription schedules, and a webhook listener keeps customers and payment methods in sync both ways. The unglamorous half: clean migration

None of it matters if the system starts empty. The long haul of the engagement went into migrating and cleaning the book: accounts, contacts, task history, opportunity contact roles, deduplication, owner reassignment, and rate fields backfilled across every client. It is the unglamorous half of a platform build, and the half that decides whether a team trusts the system on day one. The engagement is ongoing: the core routing flow is past its eightieth version, which is what keeping pace with a real practice looks like.
