The challenge

Mr. Manhole: a manufacturer meeting great leads and losing them

Mr. Manhole makes road-repair cutting equipment sold to paving contractors, subcontractors, municipalities, and dealers across the US, Canada, and beyond - much of it from trade-show floors like World of Concrete. Their Salesforce org had grown cluttered with duplicate fields and dead tabs, the integration to their inventory system had been built for a process they had since abandoned and had quietly stopped syncing, and there was no engine to follow up with the leads they worked so hard to collect.

An inventory sync built for the wrong process

The integration created sales orders in the inventory system, but the business had moved to a quote-to-estimate process - and its access tokens expired silently, breaking product sync with no warning.

A cluttered, untrustworthy org

Duplicate picklists, dead fields and tabs, quotes that never expired, and a mystery "syncing" field nobody could explain.

No way to nurture a lead

Segment-specific follow-up for general contractors, subcontractors, municipalities, and dealers simply did not exist - trade-show leads went cold.

Every lead treated the same

There was no way to tell a decision-maker with budget from a tire-kicker, so reps spent equal effort on both.

Territories that kept reshuffling

Territories were reorganized repeatedly and reps changed on active books - each time requiring assignment rules, queues, and historic records to be re-pointed.

What we built

An inventory sync rebuilt for reality

An accepted quote and its line items now create an estimate in the inventory system - the process the business actually uses - with customer and product sync, plus a scheduler that renews the integration's tokens five days early so the sync never silently dies again.

5-star lead scoring with automatic conversion

A flow rates every lead one to five stars on timeline, authority, budget, need, and next step. Four- and five-star leads convert automatically - a five-star lead means a 0-90 day timeline, a confirmed need, a decision-maker, budget in hand, and a defined next step.

Territory routing by geography

Lead assignment by state and country with twelve territory queues and owner alerts, resilient to the territory reshuffles and rep changes the business kept making.

A marketing-automation engine

Around sixty email templates across fifteen-plus nurture programs - separate journeys for municipalities, subcontractors, and paving general contractors with open-and-click branching, inactive-prospect drips, and existing-customer promotions.

Trade-show lead capture

Campaigns and lead uploads built around the shows that matter - World of Concrete and the rest - so the leads collected on the floor land in the right journey.

A cleaner, branded quote

A branded quote PDF with product descriptions and a disclaimer, thirty-day auto-expiration, and a "primary quote" concept so the pipeline always reflects a real, synced number.

Dashboards the team runs on

A team dashboard, a weekly sales-performance view, and a sales-and-marketing dashboard tracking channel, stage, and cost per lead.

How we did it

From a silently broken integration to a lead engine that runs itself

Mr. Manhole meets excellent leads on trade-show floors like World of Concrete and was losing them afterward. The Salesforce org had grown cluttered with duplicate picklists and dead fields, the integration to their inventory system had quietly stopped working, and there was no engine to follow up with the paving contractors, municipalities, and dealers they had just met. The first job was the integration, because a sync that fails silently is worse than no sync at all.

The inventory integration had two problems. It had been built to create sales orders, but the business had since moved to a quote-to-estimate process, so it was automating a workflow nobody used. And its access tokens expired without warning, which is why product sync would simply stop. We rebuilt it so an accepted quote and its line items create an estimate in the inventory system, with customer and product sync, and added a scheduler that renews the integration's tokens five days early on a daily cadence - so the sync can never silently die the way it used to.

Then we made the leads work. The nurture engine is the part that compounds. We built roughly sixty Account Engagement email templates across more than fifteen programs, with distinct journeys for municipalities, subcontractors, and paving general contractors - open-and-click branching, inactive-prospect drips, and existing-customer promotions - all feeding off the trade-show campaigns and lead uploads built around the shows that matter. One early sender-verification failure turned out to be a domain registered as "www.critex.com" instead of "critex.com," the kind of one-character fix that only surfaces when you are looking closely.
